Pipeline & candidates

Move candidates through your hiring stages, review their videos, and make decisions — solo or as a team.


How the pipeline works

Your pipeline is a Kanban board — each column is a stage (Screening, Technical, Final by default), and each card is a candidate. Candidates move left to right as they progress.

Candidates only appear in the pipeline after they've been invited to interview. Before that, they live in the Applicants tab. Once invited, they get a personal link to record their video answers.

Candidate statuses

  • Pending — Invited but hasn't submitted yet.
  • Shortlisted — You've watched their videos and want to keep them in consideration.
  • Approved — You've decided to move forward with this person (e.g. make an offer).
  • Rejected — Not moving forward. A rejection email is sent automatically if you have an email template set up.
  • Advanced — Moved to the next stage. A new interview invitation is sent for the next round of questions.

Advancing a candidate to the next stage

Click the → Stage name button on a candidate card, or open the candidate and click "Advance". The candidate receives a new invite email with a fresh recording link — this time they'll answer the questions for that next stage.

The original stage interview is preserved. You can still go back and watch their earlier answers.

Bulk actions

To act on multiple candidates at once, tick the checkboxes on their cards. A bulk action bar appears at the top of the pipeline. You can:

  • Bulk advance — Move all selected candidates to the next stage at once.
  • Bulk reject — Reject all selected candidates at once.

This is useful after an initial screening round where you want to quickly advance a shortlist and reject the rest.

Stage deadlines

When you set a deadline on a pipeline stage (in the Settings tab), candidates in that stage are given a number of days to complete their interview. Their card shows a countdown badge.

You can send a reminder email to all candidates who haven't submitted yet by clicking Send reminders in the Pipeline tab header.

Reviewing a candidate

Click any candidate card to open their full review page. From here you can:

  • Watch each video answer
  • Read the AI transcript and analysis (if you've run it)
  • Leave timestamped notes (visible to your whole team)
  • Submit a star rating (1–5) — the team average is shown
  • Change their status
  • Send them a status portal link so they can check their application progress
  • Schedule a live video interview

Candidate portal

Candidates can check their own application status without logging in. From the candidate review page, click Send status link. The candidate receives an email with a magic link that shows them a timeline of where they are in the process.

From the portal, candidates can also withdraw their application if they're no longer interested.

Reminders

If candidates haven't completed their interview after 24 hours, you can send a reminder. Click Send reminders in the Pipeline tab — this sends a reminder email to every pending candidate in that job who has an email address on file.
